Getting an HR team to use Microsoft Copilot or ChatGPT Enterprise after purchase takes four things in order: a readiness audit, two or three redesigned workflows, role-based training on real work, and a metric leadership cares about. Done in that sequence it takes about 30 days. Done out of order, or with a webinar alone, it produces what most companies have today: licenses paid for and a handful of people drafting emails.
This is the plan we run inside the Copilot & ChatGPT Adoption Sprint. It is written for HR, People, and Benefits leaders, but the shape works for any team.
Days 1–7: Find out where you actually are
Before anyone gets trained, spend a week learning three things. First, who is using the tool and for what. Admin dashboards show logins; short interviews show habits. Second, which HR workflows eat the most manual hours: onboarding paperwork, benefits questions, policy lookups, reporting, job descriptions. Rank them. Third, how people feel. Writer's 2026 research found 29% of employees quietly resist their company's AI strategy. You want to know whether that is your team before you ask them to change.
Deliverable: a one-page readiness scorecard and a ranked list of three workflows. If you want the questions we ask, they are in our 12-question readiness assessment.
Days 8–14: Redesign the workflow before you teach the tool
This is the step that gets skipped, and it is why training does not stick. Take the top two or three workflows and decide, on paper, exactly where the AI step goes and what a good output looks like.
For a benefits team that might read: employee question arrives, specialist pastes the question and the relevant plan section into an approved Copilot prompt, reviews the draft against the plan document, sends. For onboarding: HR generalist runs the new-hire checklist through a prompt that produces the personalized welcome packet, reviews, sends. Write these down as one-page playbooks.
While you are here, build the guardrails: an approved prompt library, templates, and a plain-language list of what never goes into a prompt (Social Security numbers, medical details, compensation for named individuals). This is also your AI-literacy compliance artifact.
Days 15–21: Train by role, on the team's own work
Now train, and only now. Three rules make the difference between a session people remember and one they forget by Friday.
- Separate the roles. Recruiters, generalists, and benefits specialists get different sessions with different playbooks.
- Use real documents. Last month's actual employee questions. The real onboarding checklist. Nothing generic.
- Leave with a personal playbook. Each person writes down the three prompts they will use this week. Adoption is a habit, and habits are specific.
Name two champions in this week: people who are already curious, given a formal role and 30 minutes a week to help colleagues. The champions are what keeps the program alive after the consultants, or you, move on.
Days 22–30: Measure something the CFO recognizes
Logins are not adoption. Pick one to three metrics that were already on someone's dashboard: time-to-competency for new hires, hours per benefits enrollment cycle, average response time on employee questions. Take a baseline from before day one, measure again at day 30, and put the difference in a one-page business case.
The number will be modest at 30 days. That is fine. The point is that a real metric moved because of a real change in how people work, and that is what earns the budget for the next department.
What to do if it still does not stick
If usage is flat after 30 days of this, the problem is almost always in week two: the workflow was never really redesigned, so the tool is still optional. Go back and make the AI step the default path, not a shortcut. If that is done and usage is still flat, the issue is trust or fear, and that is a leadership conversation, not a training one.
